As a fast-growing business, we are looking to expand our TEAM and hire a full-time permanent Financial Planning and Administrative Associate. Drawing on previous experience in an administrative role, you will be responsible for providing complete administrative support to the planning team. You must be comfortable operating in a fast-paced, confidential, multi-tasking environment and able to co-ordinate and communicate with other team members. You must be a self-motivated, highly organized individual with an ease for communication and a passion for enhanced client services.

Daily Responsibilities

Your job is to handle duties related to our clients’ administration & communication, allowing us to remain focused on sales initiatives and business growth. These may include, but not limited to the following:

  • Processing/reviewing daily business transactions regarding client accounts
  • Paying regular invoices and monthly credit cards.
  • Processing tax installments on behalf of client businesses.
  • Sorting/distributing incoming mail and maintaining and updating email correspondence
  • Preparing and maintaining client files, paperwork, and meeting notes
  • Following up on action items from completed meetings
  • Maintaining and analyzing client investment account records
  • Collecting and preparing loan applications
  • Regulatory/Compliance tracking and follow-up
  • Confirming client appointments
  • Building relationships with our amazing clients

Qualifications

  • You’re well organized and great with numbers.
  • Diploma or other Postsecondary degree in a relevant discipline or equivalent experience.
  • Minimum 2 years’ experience preferably in the financial services industry or banking.
  • Excellent computer literacy. Specifically in Excel, Gmail, Google Drive (Sheets, Docs), Windows, Adobe for PDF editing and management.
  • Customer service orientation with a demonstrated ability to interact professionally with clients both on the phone and face-to-face.
  • Discretion and ability to organize and prioritize multiple tasks under tight deadlines.
  • You may have a professional designation or looking to acquire one: CFP, CPA, PFP, CSC
