Who are we looking for – Accounts and Payroll Assistant

Working closely with the bookkeeping team, this is a great opportunity for a capable individual to support a growing company’s operations, grow with the company and be exposed to various areas of accounting, finance, and payroll.

The Accounts and Payroll Assistant is a self-motivated, detail-oriented, organized administrative individual who is responsible for the complete and accurate processing of payroll and the maintenance of employee & client payroll files and records.

What you will be doing:

  • Accounts Payables/Banking:
      • Payments to vendors on behalf of the company and clients.
      • Monthly banking transactions between client accounts monthly per the documented plan.
      • Liaising with clients via email and phone calls regarding payment inquiries and transactions.
      • Reconciling the bank & credit card accounts.
      • Reviewing scheduled payment runs prior to release.
      • Extracting and reviewing key reports.
      • Filing all electronic paperwork accordingly.
      • Report any anomalies in client bank accounts to the team for corrective action.
  • Payroll:
    • Bi-weekly payroll runs from team and clients as needed.
    • Annual payroll balancing at year-end for T4 preparation. Ensures CPP and EI deductions are correct based on insurable earnings.
    • Consistently adheres to all policies and procedures; strives to continuously improve payroll administration and fosters a culture that encourages proactivity and accountability.
    • Maintains up to date knowledge of payroll issues, including legislation, rules, and regulations from CRA, etc.
    • Other duties may be assigned to support Finance team activities.

What you need to have:

  • Two to three years accounting/finance experience.
  • Experience with the QuickBooks desktop a definite asset.
  • Strong computer and MS Excel skills.
  • Detail-orientation with an ability to communicate and identify problems.
  • Organized with good time management skills (ability to work under pressure).

  • College/University degree in Accounting, Finance, or a related field.
  • Ability to work independently and as part of a team.
  • Adapt to change quickly and adjust work accordingly in a positive manner.
  • Client relationship building and communication abilities.
  • Building collaborative working relationships within the team and across the company.
